Payment Policy

All payments must be made in accordance with the schedule outlined below. Non-compliance with the payment schedule may result in automatic cancellation of your booking without prior notice.

1. A minimum of 10% of the total booking value must be deposited within 24 hours of booking confirmation to hold your slot.
2. 30% of the total amount is required at the time of booking to confirm your reservation.
3. The remaining 70% must be deposited at least 30 days before departure. Late payments may result in forfeiture of the booking.
4. All payments should be made via the payment methods communicated by RIDESnTREKS LLP. Cash payments must be acknowledged with an official receipt.

General Policies

ID Requirements

All travelers must carry a valid government-issued photo ID for the duration of the trip. Accepted and rejected documents are listed below:

Behavioral Conduct

• All travelers must maintain respectful, courteous behavior towards fellow travelers, guides, and local communities at all times.
• Any form of harassment, discrimination, or disruptive conduct will result in immediate removal from the tour without refund.
• Travelers are expected to follow the instructions of the lead guide without question, especially in safety-critical situations.

Property Damage

• Travelers will be held financially responsible for any damage caused to accommodation, transport, or equipment through negligence or misuse.
• Damage costs will be assessed by the property owner/operator and must be settled directly by the responsible traveler before departure.

Loss of Belongings

• RIDESnTREKS LLP is not responsible for any loss, theft, or damage to personal belongings during the tour.
• We strongly recommend that all travelers purchase comprehensive travel insurance covering personal effects, medical emergencies, and trip cancellation.

Circumstances Beyond Control (Force Majeure)

RIDESnTREKS LLP shall not be liable for any failure or delay in performing its obligations when such failure is caused by events beyond our reasonable control, commonly known as Force Majeure events.

These include but are not limited to:

• Acts of war, armed conflict, or civil unrest
• Airport closures or airspace restrictions
• Epidemics, pandemics, or public health emergencies
• Natural disasters including earthquakes, floods, avalanches, and landslides
• Terrorist activity or threat of terrorism
• Industrial disputes, strikes, or government actions
• Adverse weather conditions rendering travel unsafe
• Road blocks, border closures, or permit denials by authorities

Guest Responsibility

Adventure travel involves inherent risks. As a participant, you bear personal responsibility for your own safety and conduct throughout the journey.

• All guests must behave responsibly and safely at all times, especially during high-altitude treks, water activities, or adventure sports.
• Irresponsible or reckless behavior that endangers you or others will result in immediate termination of your participation in the tour without any refund.
• Alcohol consumption must be responsible. Excessive drinking that causes disturbance or poses a safety risk will not be tolerated and may result in dismissal from the tour.
• The guest shall bear full financial responsibility for any damages, fines, or costs incurred due to their negligent or intentional actions.
• Guests must follow all instructions from the lead guide, trek leader, or tour manager without dispute during the trip.
• Use of illegal substances is strictly prohibited and grounds for immediate removal from the tour.

Disclaimer for Property & Accommodation Services

RIDESnTREKS LLP acts as a booking intermediary for accommodation, transport, and activity services. We work with trusted local partners; however, the following conditions apply:

• We facilitate bookings on behalf of clients but are not the direct provider of hotel, homestay, or activity services.
• The quality, safety, and condition of accommodation and services are subject to the standards of the respective property owners and operators.
• We shall not be held liable for any shortcomings, changes, or deficiencies in the service provided by third-party vendors, provided we have exercised reasonable care in their selection.
• In case of unsatisfactory service from a property or vendor, we will make our best effort to find an appropriate alternative, but this may not always be possible.
• Any disputes regarding property services must be settled directly with the concerned property owner, with assistance from RIDESnTREKS LLP as an intermediary.

Medical Self-Declaration

Many of our tours involve remote high-altitude terrains where immediate medical assistance may not be readily available. Therefore:

• All travelers booking high-altitude treks (above 3,000m) must submit a self-declaration of good health and physical fitness.
• A medical fitness certificate from a registered physician may be required for certain expeditions (Ladakh, Kedarkantha, Spiti, etc.).
• Travelers with pre-existing conditions such as heart disease, hypertension, asthma, or epilepsy must declare these before booking.
• RIDESnTREKS LLP and its guides are NOT liable for any medical emergencies, altitude sickness, or health complications that may arise during the trip.
• We strongly recommend that all travelers purchase comprehensive travel and medical insurance before departing.
• In the event of a medical emergency, our guides will make all reasonable efforts to arrange evacuation, but additional costs incurred shall be borne by the traveler.

Refund Policy

Our refund policy is as follows:

• No cash refunds will be issued for cancellations initiated by the traveler, except as specified in the Cancellation Policy above.
• If a trip is cancelled by RIDESnTREKS LLP (due to force majeure or operational reasons), a credit note will be issued equal to the amount paid.
• Credit notes are valid for 12 months from the date of issue and can be applied to any future booking with us.
• Credit notes are non-transferable and cannot be exchanged for cash.
• Partial utilization of the credit note is allowed, but the remaining balance will not be refunded in cash.

Liability Declaration

Adventure and outdoor travel inherently carries risk. By booking with RIDESnTREKS LLP, you acknowledge and agree to the following:

• You are fully aware of the physical, environmental, and safety risks associated with adventure travel including trekking, biking, camping, and international travel.
• You voluntarily choose to participate in these activities and assume full personal responsibility for all risks involved.
• RIDESnTREKS LLP, its employees, guides, and partners shall not be held liable for any injury, illness, accident, loss, or death arising from participation in our tours, unless caused by gross negligence on our part.
• RIDESnTREKS LLP is not responsible for disruptions caused by external parties such as airlines, hotels, transport operators, or government authorities.
• Any liability of RIDESnTREKS LLP shall be limited to the total amount paid for the specific tour package in question.

International Booking Terms & Conditions

The following additional terms apply specifically to all international tour bookings with RIDESnTREKS LLP:

Documentation Requirements

• A valid Passport with a minimum of 6 months validity beyond the return date is mandatory for all international bookings.
• PAN Card is mandatory for international tour bookings for financial compliance and forex transaction reporting.
• Visa applications are the responsibility of the traveler unless visa assistance is explicitly included in your tour package.

International Payment Schedule

International Cancellation Schedule

• Cancellations 60–31 days before departure: Booking amount (30%) is forfeited. No refund on booking amount.
• Cancellations within 30 days of departure: 100% of the total amount paid is forfeited. No refund whatsoever.
• Non-refundable costs such as visa fees, flight tickets, and hotel pre-payments are not included in any refund consideration.
• Travel insurance is strongly recommended for all international tours to cover unforeseen cancellations.
